The Leads page

How a visitor becomes a lead

A lead is saved when AskVault learns a visitor's email address. That happens in three ways:

  1. A contact form in your website widget. The visitor fills in their details and submits them.
  2. A chat with your AI agent. 2 skills save leads during a chat, and both are on by default. The Collect lead skill saves an email the visitor types in the chat. The Collect info skill shows the visitor a short form to check and submit.
  3. Your site identifies the visitor. If your site tells the widget who a signed-in visitor is, that visitor is saved as a lead. See identity verification.

Name and phone are saved too when the visitor gives them. Email is always required.

When a lead comes from a chat, it is linked to that conversation.

What the Leads page shows

Open Leads in the dashboard sidebar. At the top are three totals:

  • Total Captured. All leads loaded on the page.
  • AI Qualified. Leads with the status Qualified or Converted.
  • Conversion Rate. The share of leads with the status Converted.

Below them is a table with these columns:

  • Lead Info. Name and email (or phone).
  • Source. How the lead was captured, for example the widget form or the AI during a chat.
  • AI Intent Summary. The lead's notes, when there are any.
  • Status. New, Contacted, Qualified, or Converted.
  • Captured. How long ago the lead was saved.

The page loads your 200 most recent leads, newest first. Use Refresh to load new ones.

Search and filter

  • Search. Type in the search box to match a lead's name, email, phone, or notes.
  • Status filter. Click All, New, Contacted, Qualified, or Converted.

Search and filters apply to the leads loaded on the page.

Every lead starts with the status New. You can't change a lead's status from the dashboard yet.

Lead details

Click any row to open Lead Details. It shows:

  • Profile. The lead's name and initials.
  • AI Intent Summary. The lead's notes, if any.
  • Contact Information. Email, phone, source, and the page the visitor was on, when known.
  • View Original Conversation. Opens the chat the lead came from. If no chat is linked, the button reads No conversation linked.
  • Delete Lead. Removes the lead after you confirm.

Export to CSV Growth+

Click Export CSV at the top of the page. The file, leads.csv, contains every lead in the workspace, newest first, whatever search or filter is applied. Its columns are:

email, name, phone, notes, page_url, source, status, consent_given, created_at

Export is available on Growth and above.

Get notified about new leads

  • In the dashboard. When your AI agent captures a lead in a chat, the workspace owner gets an in-app notification.
  • By webhook. Every new lead sends a lead.captured event with the lead's ID, email, name, and source. Set up an endpoint under Settings > Webhooks. You can point it at your own server, or at a Zapier or Make webhook to pass leads to other tools. Webhooks are available on Growth and above. See webhooks.

Sending leads to a CRM

There's no automatic sync from the Leads list to a CRM. Your options:

  • CSV export. Download leads and import them into any CRM.
  • The lead.captured webhook. Route each new lead as it arrives.
  • HubSpot. The SDR lead qualifier skill can create or update a HubSpot contact during the chat, for companies above a size you set. It sends the same email to HubSpot at most once every 24 hours. It needs the HubSpot integration connected.

Duplicates

  • When your AI agent tries to save an email that's already a lead in this workspace, no second lead is created.
  • When the same visitor submits the same details twice in the widget form (for example, after a lost connection), AskVault keeps the first one.

Otherwise, the same person can appear more than once, for example with two different emails.

To limit spam, the widget accepts up to 10 lead submissions from one IP address in 60 minutes.

Privacy and GDPR

Leads are personal data.

  • Consent. The consent_given column shows whether consent was recorded with the lead. Leads the AI saves from the chat are recorded with consent, because the visitor typed the details themselves. For widget forms, it records the visitor's consent choice in the form. Leads from your site identifying a visitor are saved without consent recorded.
  • Deletion. Open a lead and click Delete Lead, or tick several leads and click Delete in the bar that appears. Deletion is permanent. It's a dashboard action; the public API has no endpoint for it.
  • Roles. Teammates need the Member role or higher to delete leads.

See GDPR compliance.

Plan availability

  • Every plan. Lead capture. Leads are saved on Free too.
  • Starter and above. The Leads list in the dashboard. On Free the Leads page shows as locked today.
  • Growth and above. CSV export and webhooks. Growth+

Common pitfalls

No leads are appearing. Check that the Collect lead and Collect info skills are on. Then click Refresh.

Export CSV is greyed out. The button is disabled until the workspace has at least one lead.

A lead has no conversation. Leads from the widget form are linked to a chat only when the visitor had one open.

FAQ

Can I capture leads without a CRM?

Yes. Leads live in AskVault. Export to CSV any time on Growth and above.

What's the difference between a Contact and a Lead?

A lead is a record of the contact details AskVault captured for a visitor. A contact is the lasting, cross-channel record of a person.

Can I add a lead by hand?

Not from the dashboard today. Leads come from widget forms, your AI agent, and visitors your site identifies to the widget.

How long does a lead stay "New"?

Leads keep the status New. Changing status isn't available in the dashboard yet.
