Ingest knowledge from Salesforce

Last updated: · 3 min read

What gets imported

Choose one object type per import:

  • Knowledge. Published (online) Knowledge articles: title, summary and article body.
  • Case. Your most recently updated Cases: subject and description.

Each record becomes its own source in the Knowledge page.

Not imported: attachments, comments, draft or archived articles, and other objects.

Setup

  1. In Salesforce, get an access token from a Connected App that can read the records you want.
  2. In AskVault, open Knowledge > Add Source > Salesforce.
  3. Enter your Instance URL (for example https://yourcompany.my.salesforce.com) and the Access Token.
  4. Pick Object Type (Knowledge or Case) and how many records to import (1 to 500; 100 by default).
  5. Start the import.

The instance URL and token are used for this import only and are not stored.

Refreshing content

There is no background sync. Run the import again to pick up new and edited records; records are matched by their Salesforce link, so changed ones are re-indexed and unchanged ones are left alone. Archived or deleted records are not removed automatically; delete them in the Knowledge page.

  • Don't use Resync on this import. Resync all (and Resync selected or Force Resync on an imported row) re-reads imported sources as if they were public web pages. That can mark them as needing attention, or replace the imported text with whatever the public page shows. Run the import again instead, and when you resync website pages, select them and use Resync selected.

Audience

Imported records default to public. Case content in particular is usually internal: set those sources' audience to internal before your agent goes live on public channels.

Limits

  • Records per import. 500 (100 by default).
  • Plan. Business and above.
  • Sync. None; re-run the import to refresh.

Common pitfalls

"Salesforce authentication failed." The access token is wrong or expired. Generate a new one.

"Could not reach Salesforce." Check the instance URL.

Articles missing. Only published (online) articles are imported, and only those the token's user can read.
