How to connect Notion to AskVault

Last updated: · 4 min read

What gets indexed

Each page you've shared with AskVault is imported as its own source: the page title and the page's top-level text (paragraphs, headings, lists, to-dos, quotes, callouts and code blocks). The title is used as the source citation.

Not imported: tables, content inside toggles or columns, sub-pages (import them separately), page properties other than the title, comments, images and embeds. See Notion ingestion for the full list.

Setup

  1. Open Knowledge > Add Source > Notion in AskVault. Click Connect with Notion.
  2. OAuth consent screen. Notion asks you to pick which workspace and pages to grant access to. Pick the ones with the content you want indexed.
  3. Set the import scope. Back in AskVault, leave the page-URL field blank to import every page you've shared with the integration, or paste a specific Notion page URL to import just that page. Choose how many pages to import (up to 100 per import).
  4. Click Import. Indexing starts. How long it takes depends on how many pages you import.

Test the integration by asking the bot a question whose answer is in Notion. You should get a response with a source citation linking back to the Notion page.

Sync behavior

Notion content isn't synced automatically today: there's no scheduled or webhook-triggered re-sync yet. To pick up new or edited pages:

  • Re-run the import. Reopen Knowledge > Add Source > Notion and click Import again. This re-searches every page currently shared with the integration and re-indexes it; unchanged pages are left alone and changed pages are re-indexed with the new text.
  • Import a single page. Paste that page's URL to refresh just one page instead of the whole workspace.

Deleting a page in Notion doesn't remove it from AskVault automatically: delete the corresponding document from Knowledge to stop the bot from retrieving it.

Permissions and access control

The OAuth scope is read-only. AskVault can read pages and databases you've granted access to, nothing more. We can't create pages, modify content, share, or change permissions.

If you remove AskVault's access in Notion's integration settings, the next import fails until you reconnect. Already-indexed content stays in the vector store until you explicitly delete it from Knowledge.

Audience

For HR documents, finance policies, or other content you don't want on the public chatbot, set the indexed Notion page's Audience to internal. Open Knowledge > [page] > Settings and pick an Audience: public (the default) or internal. internal pages are excluded from retrieval on the widget, the hosted page and the public API.

There are no other audience values, so this is a public-vs-internal switch rather than a per-department permission model.

Limits

  • Plan availability. Every plan with an internal integration token; Growth and above to connect with Notion's sign-in.
  • Pages per import. Up to 100 per import. Paste a specific page URL to import a single page.
  • Plan-level content cap. 40 MB on Growth, 100 MB on Business, custom on Enterprise.
  • Per-workspace integration count. One Notion workspace per AskVault workspace. To index multiple Notion workspaces, create separate AskVault workspaces.

Common pitfalls

Pages not showing up in Knowledge. They weren't shared with the AskVault integration. In Notion, open the page, click Share, add the AskVault integration to the access list.

Bot answers from outdated content. The import hasn't been re-run since the Notion page changed: there's no automatic sync. Reopen Knowledge > Add Source > Notion and click Import again.

Sub-pages skipped during indexing. Parent page was shared but the sub-pages have their own restricted access. Share each sub-page explicitly, or grant workspace-level access to the integration.

Database rows missing. The database was shared but the rows reference pages outside the shared scope. Re-share with broader access.

FAQ

Can the bot search Notion databases by property?

No. Page properties other than the title are not imported, so the bot answers from page text only. For structured queries (e.g., "show me all rows where Status = Done"), use the custom_webhook skill to call your own backend that queries Notion's API directly.

Does this work with Notion Business accounts?

Yes. Personal, Team, Business, and Enterprise Notion plans all work.

Can I limit the integration to specific Notion pages?

Yes. During the OAuth flow, pick "Select pages" instead of "Allow access to the whole workspace". You can grant access to a specific set of pages and add more later.

What happens if I delete a page in Notion?

AskVault doesn't detect the deletion automatically: there's no scheduled sync. Delete the corresponding document from Knowledge to stop the bot from retrieving it. Already-cached conversations referencing the page keep the citation link, which will 404 if the visitor clicks it.

How does sync handle large pages?

Long pages are split into smaller passages when they are indexed. The bot answers from the most relevant passages, and the source citation links back to the full Notion page.
