The demo_scheduler skill - Calendly booking links in chat

Last updated: · 3 min read

What the skill does

Growth+

Hot leads go cold in the gap between "I'd like a demo" and a booked meeting. demo_scheduler closes that gap without leaving the chat window for long.

The skill has two actions the bot can call:

  1. Show availability. It reads your Calendly event types and shows the first one as a scheduling card in the chat: its name, length and a Pick a time button that opens Calendly.
  2. Create a booking link. It asks Calendly for a single-use scheduling link for that event type and shows it on the card. The link can be used for one booking only, so it is safe to share in a transcript.

The visitor then picks a slot on Calendly. Calendly sends the invite and confirmation emails, and its own rules for round-robin, buffers and notice periods still apply.

Set it up

  1. Connect Calendly under Integrations › Calendly (see Calendly setup).
  2. Open the Skills page, find demo_scheduler and turn it on. It is off by default.
  3. Ask for a demo in the chat playground to check the card appears.

Two safeguards are built in. A second request for a link to the same event and email within 1 hour does not create another link (it also does not show the first one again). Adding "dry_run": true to the skill's configuration JSON lets you test without creating real links in Calendly.

When the bot uses it

The bot decides from the conversation. Typical triggers are "Can I get a demo?", "Can we book a call?" or "Who can walk me through this?". Add a line to your system prompt if you want it offered more or less eagerly, for example only after the visitor has shared a work email.

To ask qualifying questions first, pair it with sdr_lead_qualifier or collect_lead.

Limits

  • Calendly only. No Cal.com, SavvyCal or Google Calendar booking.
  • One event type on the card. The card shows the first event type Calendly returns. Keep the event you want offered first in Calendly, or give the bot its link in your content.
  • No cancel or reschedule from chat. Visitors use the links in Calendly's confirmation email.
  • Time-out. Each request to Calendly gives up after 15 seconds.

Common pitfalls

The card shows the wrong event. Calendly returned a different event type first. Reorder or hide event types in Calendly.

The skill asks to reconnect Calendly. The connection expired or was revoked. Reconnect under Integrations › Calendly.

No card appears. Check the skill is turned on and that your plan is Growth or above.

FAQ

Does the bot book the meeting itself?

No. It shares your event and a single-use link; the booking happens on Calendly.

Does it work with round-robin events?

Yes, because Calendly does the booking and applies the event's rules.

Does it show times in the visitor's time zone?

Calendly's booking page shows times in the visitor's own time zone.
