AI document analysis for SaaS teams

Last updated: · 5 min read

What document analysis means here

Three patterns SaaS teams use this for:

  1. Contract review. Upload vendor agreements, MSAs, SOWs. Ask "what's the termination clause?", "are there auto-renewal terms?", "what's the data-residency commitment?"
  2. RFP response prep. Upload past RFP responses, product docs, security posture. Draft first answers to long security questionnaires from what you have already written, then review them.
  3. Internal knowledge search. Upload runbooks, postmortems, design docs. Engineers ask natural-language questions across the corpus and get answers with the source document named.

Different from a general-purpose ChatGPT: every answer cites the exact source document and page, so you can verify.

Setup walkthrough

From signup to first answer:

  1. Sign up at askvault.co. Every new account starts on the Free plan, which covers up to 5 MB of content with no card and no time limit. Free Upgrade anytime to raise the content cap; see pricing breakdown.
  2. Create a workspace named for the project (e.g., "Vendor Contracts 2026").
  3. Upload documents via Knowledge > Add Source > Document Upload. PDF, TXT, Markdown and CSV work on every plan; Word (DOCX) needs Starter or above. The per-file limit is 5 MB on Free, 15 MB on Starter, 40 MB on Growth, 100 MB on Business and 500 MB on Enterprise; the only ceiling on how many files you add is your plan's total MB content cap.
  4. Wait for indexing. Long PDFs take longer; the Knowledge page shows when each file is ready.
  5. Open the Chat Playground. Ask your first question.

Supported document types

By volume of real-world usage:

  • PDFs. The most common contract format. Text-based PDFs index fully. Scanned, image-only PDFs need OCR first; built-in OCR for scanned PDFs is rolling out. Rolling out
  • DOCX (Microsoft Word). Common for RFPs, RFI responses, internal policy docs. Starter and above.
  • TXT and MD (Markdown). Engineering documentation, runbooks.
  • CSV. Structured data tables. Parsed row-by-row with column headers preserved.
  • HTML. From URL crawls of internal wikis.

Not supported: spreadsheet formulas (only the values are read), encrypted PDFs (unlock first). Video files can be uploaded on Business and above.

Example: contract review

A SaaS company often has dozens of active vendor contracts. Upload them all, then ask:

Which contracts auto-renew without 30 days notice?

The bot returns:

Three contracts auto-renew without 30 days notice:

  1. Acme Hosting MSA, Section 4.2 (auto-renews 14 days before expiry).
  2. Beta Analytics SOW, Section 7 (auto-renews on expiry date).
  3. Gamma CRM Order Form, Section 2 (auto-renews unless cancelled at least 60 days prior).

Each citation links to the source document and page. Click through to verify.

Pattern works for: termination clauses, data-residency commitments, indemnification caps, SLA penalties, IP assignments, non-competes.

Example: RFP response prep

Security and capability questionnaires repeat the same questions in new words. With document analysis:

  1. Upload past RFP responses, security posture docs and compliance evidence.
  2. Open Chat Playground.
  3. Paste each question from the new RFP.
  4. The bot drafts an answer citing the relevant past document.
  5. Sales engineer reviews, edits, accepts.

Every draft names the document it came from, so the reviewer checks a source instead of hunting for one.

Engineering teams with 100+ runbooks, design docs, and postmortems:

  1. Upload the corpus, keeping within your plan's content allowance.
  2. Import from Notion or Confluence (optional, see Notion integration). Notion works on every plan; Confluence needs Business. Imports are one-time, so run the import again to refresh changed pages.
  3. Deploy a Slack bot so engineers can ask questions in #engineering.

Sample query: "How do we roll back a bad database migration?"

The bot answers from the runbook and names the document, so the engineer can open the full procedure.

Accuracy and limitations

How well it works depends on the content:

Strong performance:

  • Well-structured contracts with clear section headers.
  • Policy docs with defined terms.
  • Technical specs with diagrams plus prose context.
  • RFP responses with question-answer structure.

Weaker performance:

  • Heavily scanned PDFs with poor OCR. Pre-process with OCR before upload.
  • Tables in PDFs. Extracted as text; complex tables lose structure. CSV upload is better for table-heavy content.
  • Hand-written notes in document margins. OCR captures these inconsistently.
  • Charts, diagrams, images. Captioned but not deeply analyzed today.

Accuracy is strong on well-structured, text-based contract questions, and weaker on the cases listed above. Always verify high-stakes answers via the citation links.

Privacy and data handling

For document analysis on sensitive content:

  • Indexed text encrypted at rest with AES-256 by our database provider.
  • Data in transit encrypted (TLS 1.2 or higher; TLS 1.3 when the client supports it).
  • Not used to train any model (yours or shared). See data handling commitments.
  • Workspace isolation. Documents indexed in one workspace can't be retrieved from another.
  • Audience tagging. Tag sensitive documents internal so they are never used on public channels (the widget, hosted page and public API), whoever is asking.

Do not index HIPAA-protected content (PHI). AskVault does not currently sign a BAA on any plan. See HIPAA posture.

Audit and compliance

For regulated industries:

  • Conversations are saved in Inbox > Chat History with their messages and timestamps.
  • Conversation retention of 7, 30, 90 and 365 days on Free, Starter, Growth and Business, and 365 days on Enterprise.
  • Activity log and export. A log of who changed what, with an export, is rolling out and may not be on for your account yet. See activity log.
  • Per-person data export and erasure. Rolling out and not yet on for every account. Until then, contact support.

Useful for proving compliance with internal data-access policies.

Pricing for document workloads

The single billing axis is indexed content (MB):

  • Free. 5 MB. Roughly 50 to 100 pages.
  • Starter. 15 MB. Roughly 150 to 300 pages. Starter+
  • Growth. 40 MB. Roughly 400 to 800 pages. Growth+
  • Business. 100 MB. Roughly 1,000 to 2,000 pages. Business+
  • Enterprise. Custom content allowance.

PDFs vary in size; a text-heavy 500-page contract is typically 15 to 30 MB.

Message volume scales separately, metered in monthly message credits: Free gets 50, Starter 2,000, Growth 6,000, Business 15,000, and Enterprise from a 40,000-credit floor (custom). Premium models cost more credits per answer.

AskVault or a custom GPT?

A custom GPT is fine for one person reviewing one contract. AskVault is built for a team that keeps asking the same corpus questions over time:

  • Answers from your files only, with the source named, and an "I don't know" when the files do not cover it.
  • Separate workspaces per client, team or product, each with its own content.
  • More places to ask: the website widget, a hosted page and, from Growth, WhatsApp, Telegram, Slack, Discord, SMS and email.
  • An activity log of team changes, rolling out and not yet on for every account.

AskVault does not offer a HIPAA BAA today. Check OpenAI's current documentation for custom GPT limits.

Limits

These are the limits that matter for document work.

  • Max file size per upload. 5 MB on Free, 15 MB on Starter, 40 MB on Growth, 100 MB on Business, 500 MB on Enterprise.
  • Files per workspace. No fixed count cap; bounded only by your plan's total MB content cap.
  • Max content size per workspace. 5 MB Free, 15 MB Starter, 40 MB Growth, 100 MB Business, custom on Enterprise.

Common pitfalls

Scanned PDFs return empty answers. Bad OCR. Pre-process with a real OCR tool before upload.

Bot answers from old document version. Old version still indexed. Delete the old document, then upload the new version; uploading a new copy alongside leaves both indexed.

Tables in PDFs lose structure. Upload the source CSV alongside the PDF, or convert tables to Markdown tables in a pre-processing step.

Confidential answers shown to wrong people. Audience tags not set. Tag sensitive docs internal: they are never used on public channels, and signing in does not unlock them. Identity verification is a separate control; see identity verification.

FAQ

Can I analyze 10,000-page contracts?

Page count is not the limit, file size is. Business allows files up to 100 MB and Enterprise up to 500 MB. Split anything larger before uploading.

How accurate is the analysis?

It depends on how clean and well-structured your documents are; we have not published an accuracy benchmark. Always verify high-stakes answers through the source links.

Can the bot draft contract amendments?

Yes for first-draft text. Always have legal review the output. The bot's strength is finding and summarizing; humans handle the legal-binding draft.

Will my documents be used to train your models?

No. See data handling commitments. Your content stays yours; we don't use it to train shared models.

Can I add document analysis to my existing app?

Yes, for asking questions: query your agent from your app with the REST API (/v1/query) and get the same answers and citations in your own UI. Upload the documents in the AskVault dashboard; there is no public upload API today.
